In this guide
The office Christmas party is the one event of the year where everyone notices the food. Get it right and people talk about it until spring; get it wrong and the evening runs on crisps and warm wine. This guide covers when to book, which format suits your team, realistic prices per head and the practical checks that keep the night running smoothly.
When to book your office Christmas party catering
December is the busiest month of the year for caterers, and the same few dates go first: Thursdays and Fridays in the first three weeks of the month. If you already know your date, book in September or October. If you are flexible, an early December weeknight or a festive lunch is much easier to secure.
| When | What to do |
|---|---|
| September to October | Pick the date and venue, then book the caterer with a deposit |
| Early November | Choose the menu and send the invitation with a dietary question |
| Four weeks before | Confirm final numbers, allergies, timings and access |
| The week before | Share the running order and a contact for the day |
Choose a format that suits your team
The right format depends on where you are holding the party and how you want the evening to feel.
- In the office. No venue to hire and no one has to travel. Hot food stations or a buffet set up in a meeting room, breakout area or canteen work well, and the caterer clears everything away afterwards.
- At a hired venue. Function rooms, barns and restaurants with private hire often allow outside caterers. Check the venue's rules on hot food and what kitchen or serving space you can use.
- Festive drinks with canapés. Ideal for a shorter after-work celebration. Allow 10 to 12 canapés per guest if they replace a meal.
- A Christmas lunch. Increasingly popular because everyone can attend, including people with childcare or long commutes, and lunchtime dates are easier to book.
For most teams, food stations hit the sweet spot: people can eat when they are hungry, go back for more and keep talking, without the stiffness of a seated three-course dinner.
How much does office Christmas party catering cost?
These are typical food-only prices per head in the UK for a Christmas party. London venues and staffed, formal service sit at the top of each range.
| Format | Typical price per head |
|---|---|
| Canapé reception (drinks party) | £15 to £35 |
| Hot buffet or food stations | £18 to £45 |
| Seated three-course Christmas dinner | £45 to £90+ |
Our Thai Christmas party catering starts from £17 per guest for a main and two spring rolls served hot from food stations, and £24 per guest for full food stations with spring rolls, chicken satay, two mains and two staff for two hours. Canapés start at £2 each. There is a minimum spend of £750, and travel is included in the quote.
Christmas party menu ideas that work for a mixed team
A Christmas party menu has to please everyone, from the adventurous eaters to the people who would happily have turkey again. Thai street food works because it is warming, colourful and easy to eat standing up, and a sensible menu balances mild and spicier dishes.
- To start: hand-rolled spring rolls and chicken satay, handed round with drinks or served first at the stations.
- Mild and comforting: massaman curry, rich with coconut and potato, and the safest choice for cautious eaters.
- A crowd favourite: pad thai, cooked with chicken or tofu.
- For spice lovers: green curry, with chilli on the side for anyone who wants more heat.
- Something sweet: mango sticky rice, a dessert most of your team will never have tried at a work party.
Two or three mains with jasmine rice is plenty for most teams. See the full catering menu for every dish with allergens and photos.
Plan for dietary needs from the start
Most teams now include vegans, vegetarians, people avoiding gluten and people with allergies. Ask about dietary needs in the invitation and pass the answers to your caterer with the final numbers. With Thai food this is straightforward: vegan, vegetarian and gluten-free versions cost the same, halal chicken is available on request, and every dish should be labelled for the 14 major allergens.
Practical checks for an office party
Offices are not built for events, so a few quick checks avoid surprises on the night:
- Building access and parking for the catering team, and any security sign-in.
- Lifts, loading bays and the route from the street to the room.
- The building's rules on hot food, and whether the room has a power point near the serving area.
- Enough space for the food stations and a clear route for people to queue.
- Timings: serve the food early in the evening, before the drinks take over. Standard service runs for two hours.
- Who clears the room afterwards and where rubbish goes.
Frequently asked questions
How far in advance should we book a Christmas party caterer?
Eight to twelve weeks is sensible, and earlier for Thursdays and Fridays in December, which are the first dates to go. Weeknights and lunches in early December are easier to secure at shorter notice.
Can you cater the Christmas party in our office?
Yes. We set up hot food stations in your office, breakout area or canteen and clear away afterwards, so you do not need to hire a venue.
Can we just have canapés with drinks?
Yes. A canapé reception suits a shorter after-work party. Allow six to eight canapés per guest before a meal, or ten to twelve if they replace it.
Where do you cater Christmas parties?
Across Essex and London from our kitchen in Chelmsford, in our other main areas from Kent and Surrey to Suffolk and Norfolk, and anywhere in England for larger events. See the areas we cover.
